Who this policy covers
Vuoma provides accounts, booking, payments, studio websites and apps, communication, and staff tools. This policy covers Vuoma services. A studio also decides how it uses its customer and staff records; contact that studio for questions about its services or records. Your studio login and your independent Vuoma account are separate credentials.
Information we use
We use the details you provide, including your name, email, phone, profile photo, preferences, messages and attachments, bookings, attendance, purchases, signed agreements, and work records. Optional goals and emergency-contact details are used for the studio services you request. We also keep security and service records, such as sign-ins, authorized API activity, delivery results, and device tokens used for notifications.
How information is used
We use information to verify accounts, provide studio services, process payments, communicate with you, manage staff work, respond to support requests, and protect accounts and first-visit offers from misuse. Staff access depends on the studio role and permissions. Similar names and phone details may flag a duplicate for authorized review; a name match alone does not merge accounts. Existing-account contact hints are shown only after email verification.
Service providers and connected tools
Our providers include Supabase for accounts and stored data, Vercel for hosting and website analytics, Stripe for payments, Postmark for email, OpenAI for assistant features, and Apple and Expo services for app distribution and notifications. Payment details are handled by the payment provider. Assistant requests may send the relevant conversation and authorized studio context to the AI provider. Connecting your own tool gives it only the permissions you approve; you can revoke that connection.
Website and app reports
Studios can see aggregate website traffic and App Store download reports collected periodically. Website visitor totals across days may count the same browser again on another day. App Store reports exclude TestFlight, updates, and restores. These studio reports do not include provider credentials or individual visitor identities. We use necessary session storage for authentication and account flows; notification permissions are controlled by your device.
Your choices
You can update your profile and communication preferences, choose optional goals, revoke connected-tool access, and manage notification permission. Contact Vuoma or your studio to request access, correction, or deletion of your information. Identity verification may be required to protect your account.
Deleting an account and retaining records
Supported studio apps provide an account-deletion action. Deletion removes the studio sign-in and disposable account data; it is not simply a hidden or disabled profile. Account-deletion requests with remaining record dependencies enter a review queue due within 30 days. A studio may retain particular transaction, signed-agreement, or employment records when there is a documented legal or contractual requirement, with a defined retention period or a reviewed legal hold. A preference to keep customer history alone is not a reason for indefinite retention.
To prevent repeated first-visit benefits, we retain private, studio-specific keyed email fingerprints with limited attendance, guest-code redemption, or introductory-purchase markers for up to 24 months after the relevant activity. These security markers are separate from business records. They contain no plaintext email, name, phone, or full attendance history, are unavailable to normal studio users, and expire through scheduled cleanup. They are used only to check offer eligibility and prevent misuse, not for marketing or tracking across studios.
Security and policy changes
We use scoped permissions, account verification, private storage, and access controls to protect information. No online service can guarantee absolute security.
